Privacy Policy
Last updated: September 28, 2026
This Privacy Policy explains how Simpli Software LLC ("Simpli Software", "we", "us") collects, uses, shares and protects information in connection with Simpli Fleet Pro, including the web app at app.simplifleetpro.com, the Fleet Pro mobile app, and this website (together, the "Service").
Fleet Pro is used by businesses that run vehicles: tour, limo, trucking and delivery companies. In this policy, "you" means the business that signs up and the people it invites to use Fleet Pro, such as owners, dispatchers, mechanics and drivers.
1. Information we collect
Information you give us
- Account details: your name, email address, phone number, password, company name and address, and the roles you give your team.
- Fleet records: vehicles (including VINs), drivers and staff, maintenance schedules, work orders, parts, vendors, inspections, fuel logs, IFTA records, documents and photos you upload.
- Dispatch and bookings: routes, stops, addresses, schedules, reservations and booking requests, including the names and phone numbers of your own customers.
- Messages: in-app chat and support messages.
- Billing: your subscription details. Card numbers are handled by our payment processor, Stripe, and are never stored by us.
Information from services you connect
- QuickBooks Online: see section 4.
- Telematics providers (such as Samsara or Geotab), if you connect one with your own account: vehicle identifiers, events, and location or status data those providers send about your vehicles.
Information collected automatically
- Usage and device data: log data such as IP address, browser and device type, and pages or features used, to run, secure and improve the Service.
- Mobile app: a push notification token, if you allow notifications.
- Error reports: technical details about crashes and errors, so we can fix them.
- Cookies and similar storage: see section 6.
2. How we use information
- To provide the Service: keeping your records, running dispatch and tracking links, sending the notifications and texts you set up, and syncing with services you connect.
- To bill your subscription.
- To support you and send account and service messages, such as password resets and billing notices.
- With your permission, to send product news and tips. You can unsubscribe at any time.
- To keep the Service secure, prevent abuse, fix problems and improve features.
- To meet legal obligations.
We don't sell your information, and we don't use your fleet or customer records to advertise to you or anyone else.
3. Your customers' information
When you enter information about your own customers, drivers or passengers, you control that information and we process it on your behalf to provide the Service. You're responsible for having the right to collect it and, for text messages, for having the consent the law requires before texting someone. If one of your customers asks us about their data, we'll refer them to you.
4. QuickBooks Online
If you choose to connect QuickBooks Online, you sign in with Intuit and approve access on Intuit's own screen. Fleet Pro then:
- Reads your list of accounts, so you can choose where Fleet Pro records expenses.
- Writes expense entries for the fuel purchases and completed work orders you choose to sync.
We use QuickBooks data only to provide this sync. We don't sell it, share it with third parties, or use it for advertising. The access tokens Intuit gives us are encrypted at rest. Only people on your team with accounting permission can connect or disconnect QuickBooks.
You can disconnect at any time from Fleet Pro's accounting settings or from your QuickBooks account. When you disconnect, we stop accessing your QuickBooks data and delete the stored access tokens. Entries already created in QuickBooks stay in your books.
5. Who we share information with
We share information only with service providers that help us run the Service, only for that purpose, and as the law requires:
| Provider | What they do |
|---|---|
| InterServer, Inc. | Hosts the application and database |
| Stripe, Inc. | Subscription billing and payments |
| Amazon Web Services (Amazon SES) | Sends email |
| Twilio Inc. | Sends text messages you set up in Fleet Pro |
| Expo (650 Industries, Inc.) | Delivers mobile push notifications |
| Functional Software, Inc. (Sentry) | Error monitoring |
| AeroDataBox | Flight status for airport pickups (flight numbers only) |
| U.S. National Highway Traffic Safety Administration | VIN decoding and recall lookups (VINs only) |
| Anthropic, PBC | The in-app support assistant, when it's turned on (only the messages you type into it) |
| Intuit Inc.; telematics providers | Only if you connect them (see sections 1 and 4) |
| Google LLC; Meta Platforms, Inc. | Website analytics and ad measurement, only with your permission (see section 6) |
We may also share information if the law requires it, to protect people's safety or our rights, or as part of a merger or sale of the business, in which case this policy would continue to apply.
6. Cookies and similar technologies
The Fleet Pro app uses only the browser storage it needs to keep you signed in. This website may use:
- Essential: needed for the site to work, such as remembering your cookie choice. Always on.
- Analytics (Google Analytics): with your permission, shows us which pages are visited and how people find us. Google handles this data under its own privacy policy.
- Advertising (Meta Pixel): with your permission, measures whether our ads on Facebook and Instagram work, and helps us reach people who have visited our site. Meta handles this data under its own privacy policy.
Analytics and advertising cookies stay off until you allow them, and you can change your choice at any time with the Cookie settings link at the bottom of the page. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of advertising cookies. Where the law treats advertising cookies as "sharing", declining them, or sending Global Privacy Control, opts you out.
7. How long we keep information
We keep your information while your account is open. If you close your account and ask us to delete your data, we delete or anonymize it within 30 days, except records we must keep for legal, tax or accounting reasons. Copies in our backups are removed as those backups are replaced over time, and are never used for anything else. Server logs are kept for a limited time for security and troubleshooting.
8. Security
All traffic to the Service is encrypted in transit with TLS. Passwords are stored as one-way hashes, and QuickBooks access tokens are encrypted at rest. Each company's records are kept separate from every other company's, and access within your company follows the roles you assign. No system is perfectly secure. If we learn of a breach that affects your information, we'll notify you as the law requires.
9. Your choices and rights
- You can update most account and fleet information yourself in Fleet Pro.
- You can ask us for a copy of your information, or to correct or delete it, by emailing contact@simplifleetpro.com. We'll respond within 45 days and may need to confirm your identity first.
- You can unsubscribe from marketing email with the link in any message. We'll still send essential account and billing messages.
- Depending on where you live, you may have more rights under local law, such as California's. We won't treat you differently for using them.
10. Children
The Service is for businesses and isn't directed to children under 13. We don't knowingly collect personal information from children, except where a customer enters a passenger's details for a booking.
11. Changes to this policy
We may update this policy. When we make a material change, we'll update the date above and tell account owners by email or in the app before it takes effect.
